Registration Overview
We make every effort to process registrations within two weeks of receiving them. IMPORTANT NOTE: Online registration generates an automatic email to you acknowledging receipt of your submission, but this is not the same as confirmation of your space on the retreat.

If you have not heard from us within two weeks, please contact the Cloud Mountain office. PLEASE DO NOT ASSUME your space on retreat is confirmed if you have not received further contact from us.

Once your registration has been processed and your space on the retreat confirmed, we will send you a receipt and a confirmation packet by email or postal mail (depending on the method you selected on your registration form). The email to which we send the information is the one you list on your registration form. You may wish to double check your spam settings and be sure to allow emails from info@cloudmountain.org.

As the retreat approaches, you will receive several additional emails from Cloud Mountain, including ride-share information (if you are participating), arrival time reminders and an opportunity to offer meal dana.
Tiered Retreat Fees
We offer you the ability to pay your retreat fee at three different levels depending on your financial situation. Through this approach, it is our intention to keep retreats as affordable as possible for those with financial challenges and to allow those who are more fortunate in their financial circumstances to practice generosity.

Subsidized Level
At this level, your retreat fee does not fully cover the costs of hosting you on retreat. If you select this level, your retreat must be subsidized by others, either via the general donations people offer or through the additional fees paid by those selecting the Supporting Level.

Sustaining Level
At this level, your retreat fee fully covers the costs of hosting you on retreat.

Supporting Level
At this level, your retreat fee exceeds the costs of hosting you on retreat and becomes an important avenue to subsidize the reduced fees paid by others who have more challenging financial circumstances.

Please Note
Scholarship funds are still available for those who need additional financial assistance beyond the ability to pay at the Subsidized Level. Also, please be aware that your room assignment is not related in any way to the retreat tier you choose. Our practice of assigning housing continues to be based on registration order in order to maintain an equitable system that is not founded on relative financial abundance.
Registration Deadline
All registration materials must be RECEIVED in our office by 12:00pm two days before the start of the retreat. Regretfully, any registrations received after this, including those coming via US mail, cannot be processed.
Methods of Payment
We prefer payment by check, since all credit card payments have fees deducted by the credit card companies. Checks should be made payable to FOCM (Friends of Cloud Mountain). For Canadians and international registrants, on the other hand, it is actually far more efficient for all concerned for you to pay by credit card. You may also send money orders, bank drafts or checks drawn on US funds. There is a $25 charge for returned checks.
Waiting Lists
If a retreat is full when you register, your name will be automatically added to a waiting list and you will be notified of your status by email. We do not request payment of the retreat fee until a spot opens up and you accept the opening. Because retreats with waiting lists are obviously popular, we would greatly appreciate your notifying us if you need to come off the waiting list.

If you have excellent last-minute availability, please inform Cloud Mountain of that fact. When we have cancellations just prior to the retreat start (within 24 - 72 hours), we go directly to those individuals on the waiting list who have expressed an ability to accept such short-notice cancellations.

Please note: On our website, we do not list retreats as full with waiting lists because the changeability of retreat lists due to cancellations creates too a high degree of fluctuation to keep the information on the website completely current. You may contact the Cloud Mountain office at any time to determine the exact registration status for any retreat in which you're interested.
Partial Attendance, Late Arrivals & Early Departure
Unless specifically noted, partial attendance on retreat is not permitted, nor are late arrivals and early departures of a non-emergency nature. (This includes early departures on the last day of the retreat prior to the final clean-up.) It is most respectful to the continuity of the group energy as a whole, for the smooth running of the retreat and the center, and for your own experience of full introduction, completion and closure that all participants plan to attend the full retreat. Special requests for partial attendance need to be made well in advance, are not guaranteed, and must be approved by the Cloud Mountain Director and the retreat leader. Receiving permission from the teacher prior to contacting Cloud Mountain is not a guarantee of acceptance for partial attendance.

This is of deep enough concern to us that your early departure or late arrival may result in the loss of future retreat privileges.

Arrival & Departure Times
Usually, the retreat begins in the evening of the first day with check-in between 2pm and 4pm. A Newcomer's meeting is offered at 4:30pm. The first gathering of the full group begins with dinner served at 5pm followed by Working Meditation Training. Group Orientation to the retreat begins at 7pm unless otherwise noted on your confirmation letter. The retreat normally ends on the final day with brunch, and a final clean-up. Most participants leave the center by 1:30pm on the last day. Special arrangements can be made with advance arrangement for those catching a flight or driving to Canada that would necessitate early departure.
Scholarships
We encourage individuals with financial challenges to apply for scholarship assistance. It is our sincere wish that financial constraints not be an impediment to individuals' ability to hear and practice the Dharma on retreat. Financial assistance is available on all retreats. Our general Scholarship Fund is subsidized through a portion of the retreat fees and by the generosity of individuals' direct donations. We are also able to offer additional financial assistance to People of Color and Young Adults, ages 18 - 35, through funds wholly subsidized by donations from our sangha. See below for more information about POC and Young Adult scholarships.

Approved scholarships for most retreats generally come in the form of a work-exchange and up to a 50% reduction in the retreat fee. (On retreats longer than 12 days, the amount will vary, so please contact the Cloud Mountain office for specific scholarship information for longer retreats.) Work-exchange duties vary and are pre-assigned. Generally they help to support kitchen operations during the retreat, and help us to clean up the retreat center at the end of the retreat. The ongoing daily work exchange duties intrude only minimally, if at all, into formal retreat sessions; most are performed during the meal breaks or during part of a walking meditation session. Final clean-up tasks may require staying a little late after the end of the retreat. In cases of disability, we are happy to adjust the work-exchange responsibilities to accommodate individuals' particular physical needs in a gentle and appropriate way.

To apply for a scholarship:
Please submit a completed scholarship application form, along with your completed registration form for the retreat in which you are interested and half the full listed retreat fee (or in the case of a longer retreat, the appropriate deposit amount). By submitting all of these items together, if your application is approved we are able to confirm your scholarship and your place on the retreat.

Until the status of your scholarship is clear, we will not process your payment. If we are unable to approve you for scholarship assistance for any reason, we will place your materials on hold while we can contact you to see how you wish to proceed around registering. If you decide not to register under those circumstances, you will not have financially committed to the retreat and may easily withdraw your registration.

PLEASE NOTE: Some of the retreats held at Cloud Mountain are sponsored by outside groups. If you are interested in attending a retreat not sponsored by Friends of Cloud Mountain, you should contact the sponsoring/organizing group directly for scholarship information.

We have received special donations from within our sangha to offer assistance for people of color in need of financial support to attend retreats. These funds are available to support any individual who self-identifies as a person of color on any retreat offered at Cloud Mountain (with the exception of those sponsored by outside groups, who provide their own scholarship opportunities). Please be aware that funds are limited and many of our retreats fill quickly and go to waiting lists, so early registration is encouraged.

We have received special donations from within our sangha to support young adults, ages 18-35, requesting financial assistance to attend certain specified retreats.

Scholarship Funds are available for young adults interested in attending retreats offering Awareness or Mindfulness of Mind teachings that are supported by the guidance of Sayadaw U Tejaniya and follow the open format of his teaching approach, plus a few additional selected retreats. Below is a comprehensive list of all eligible retreats. Young adults interested in attending any of these are invited to apply for scholarship assistance.

A component of service is requested from all participants on Cloud Mountain retreats, including scholarship recipients. Each recipient will be asked to offer back practical assistance with daily and final chores as a form of support for the retreat as a whole. We hope that you will undertake this service with spirit of gratitude and generosity, recognizing that you are able to reciprocate and mirror the generosity of the gift you are receiving of financial support with your own offering of time, energy and support for others. We also ask that at the end of your retreat you bear in mind the practice of dana or generosity that has sustained the Dharma for over 2500 years.

To request a Young Adult's scholarship and register for any of the eligible retreats, you may use our standard online registration which includes our scholarship application. On the scholarship application, please indicate that you're applying for a Young Adult scholarship, providing your age and a complete statement regarding your financial need. Please be aware that funds are limited and many of our retreats fill quickly and go to waiting lists, so early registration is encouraged.

Cancellation Policy

Please note: Non-refundable portions of retreat fees are also non-transferable to other individuals or retreats. To request an exception to the cancellation policy, please provide a detailed explanation in an e-mail addressed to the Center Manager and send to: info@cloudmountain.org. Exceptions will be considered for personal & family medical emergencies only. Requests for exceptions must be made within two weeks of the cancellation.

Cancellation Fee Schedule:
Cancellation policy for all retreats less than 5 days in length
  • The retreat fee, less a $100 cancellation fee, will be fully refunded if Friends of Cloud Mountain is notified 6 or more weeks prior to the start of the retreat.
  • Half of the retreat fee will be forfeited if FOCM is notified between 2 to 6 weeks prior to the retreat.
  • The full amount of the retreat fee will be forfeited if FOCM is notified less than 2 weeks prior to the retreat.

Cancellation policy for all retreats 5 - 12 days in length
  • The retreat fee, less a $150 cancellation fee, will be fully refunded if Friends of Cloud Mountain is notified 6 or more weeks prior to the retreat.
  • Half of the retreat fee will be forfeited if FOCM is notified between 2 to 6 weeks prior to the retreat.
  • The full amount of the retreat fee will be forfeited if FOCM is notified less than 2 weeks prior to the retreat.

Cancellation policy for retreats 12 days or longer but less than 27 days
  • If it is more than 6 months prior, you will receive a full refund, less the cancellation fee of $150.
  • If it is 4 - 6 months prior, the fee for cancellation is $450.
  • If it is 1 - 4 months prior, the fee for cancellation is $750.
  • If it is less than 1 month prior to the start date of the retreat, the full amount is forfeited.

Cancellation policy for retreats that are 27 days or longer
  • If it is more than 6 months prior, you will receive a full refund, less the cancellation fee of $150.
  • If it is 4 - 6 months prior, the fee for cancellation is $450.
  • If it is 1 - 4 months prior, the fee for cancellation is $900.
  • If it is less than 1 month prior, the full amount is forfeited.
